Accessing public folder favorites

Seeing that Outlook desktop and Outlook on the web (or OWA, depending on version) do not support the same types of public folders (or folders added to Favorites) we wanted to talk about what is expected behavior when public folders are used. We have seen some questions around this so – let’s clear it up!

Outlook supports public folders of following types:

  • Calendar
  • Contact
  • InfoPath Form
  • Journal
  • Mail and Post
  • Note
  • Task

OWA supports only the following public folder types:

  • Mail and Post
  • Calendar
  • Contact

Adding public folders to Favorites is slightly different depending on the client. Please see this article which explains how to do it in the respective client.

OWA will only support folders types such as Mail, Contact and Calendar. Support for public folders with folder type Tasks and others are not available in OWA even though they can be added to Favorites using Outlook. If OWA does not support a specific folder type added to Favorites by Outlook, it will display the folder, but it will be greyed-out.

Another behavior that is very different in OWA is that OWA does not have a common view for different folders types

Add Permissions to Public Folders With PowerShell

Exchange makes it a little more challenging to add permissions to the folders and to also view those permissions. Luckily if you are willing to learn some PowerShell, it’s never been easier.

Step 1: Launch PowerShell

Either logon to the server or use a remote PowerShell to gain access to the exchange powershell.

Step 2: Gather Information

Most likely a User will provide this information for you. You’ll need to know which public folder to add the permissions to, but also what level of access you’d like to grant the user.

Step 3: Understanding Access Rights

When assigning access rights there are two different methods, one just assigning read\write etc… or assigning a role such as Owner or PublishingEditor. Note that both are valid commands for PowerShell.

Step 4: Issue the Command

Add-PublicFolderClientPermission -Identity “\Public Foldername” -user Username -AccessRights PublishingEditor

Add-PublicFolderClientPermission is the part of the command declaring what action is taking place.

-Identity is specifying which Public Folder is being modified

Author biographies - Pros/Cons?

Hi,

your PKP follower power and journal publishing experience is asked.

Does your journal publish author biographies - why, why not? What are the pros/cons?

We are currently migrating a journal to OJS. For the scientific article section, we do have author biographies for each author in the PDF (usually a short paragraph of print lines) and we could add them as well to the details page.

Some pros and cons I see from our side:
Pros:

  • Added value
  • Reader can get a better insight of the published work

Cons:

  • Tedious work to copy over from the manuscript if the author doesn’t enter the biography during submission
  • Details page may get very long
  • What do some search engines with the content do? - the biography may decoupled from the article and it is not clear that the biography is a snapshot at the time the article was published

Add-PublicFolderClientPermission

This cmdlet is available in on-premises Exchange and in the cloud-based service. Some parameters and settings may be exclusive to one environment or the other.

Use the Add-PublicFolderClientPermission cmdlet to add permissions to public folders.
